2011 Reserve Site Application Process

Plans are underway for the 2011 Waikato Boat, Fishing & Leisure Show! Pacific Ocean Pavilion Exhibitors from the 2010 event are invited to apply for a reserve site, prior to the publication and release of the event Prospectus (early April).

The high quality and quantity of marine and leisure industry members represented at the 2010 show ensured an excellent overall visitor experience. We aim to continue this success at the 2011 event and are pleased to be able to provide you with an early opportunity to apply to reserve a site.

Exhibitor feedback has strongly indicated that changes to the layout of the Pacific Ocean Pavilion were required. In response to this, we have reviewed and analysed the floor plan and believe we have revised it for 2011 to maximise exhibitor site requirements with a range of sizes each with proportionate site frontages. This plan also provides excellent access to facilities and with its wide 4m walkways it helps to reduce congestion and improve traffic flow. As there is only one path throughout the entire building with all roller doors closed, the foot traffic is directed past every site, with no divergent options.

As the layout is different, your exact 2010 site may not be available; however we have endeavored to include as many similarities as possible. As a 2010 Pacific Ocean Pavilion Exhibitor, you are invited to apply to reserve a site.

The Reserve Site process is as follows;

1. Documentation Please complete and return the Reserve Site Application Form in full before 5.00pm, Friday 18th February 2011.

2. Deposit
Include a deposit of $500.00 per site (including GST) to secure your reserved site/s. (Applying for 1 site = $500, 2 sites = $1000, 3 sites = $1500.) The balance of the Exhibitor Site Fee for your allocated site/s will be required to be paid in full by Wednesday 14th September 2011.

3. Preference Preference will be given to the Exhibitor applying to reserve the site/s they occupied in 2010. Where the 2011 site is not identical, preference will be given to the Exhibitor whose 2010 site is most similar (location/size).

4. Declining the invitation to reserve Should a 2010 Exhibitor choose NOT to reserve their site/s, the site/s will become available as part of the general allocation. Applications will then be accepted by other exhibitors up to a deadline date as advertised in the prospectus.

5. Conditions for reserving You must exhibit on your site each year to be able to reserve it for the following year. Should you relinquish your option to reserve this year, the site/s may become unavailable to apply for in future if allocated to and subsequently reserved by another exhibitor.

6. Layout Alterations Some 2010 sites may no longer be available to reserve due to site layout alterations. In this instance, you should apply for an alternate site (refer to 3 above). Please also be aware that the new site numbering is different to 2010.

7. Multiple applications If multiple applications are received for sites where no previous Exhibitor exists or where the 2010 Exhibitor chooses to relinquish their option to reserve, a ballot will be held to determine a fair outcome. In this case, preference will be given to Exhibitors of a strong marine focus. Should the site you apply for be allocated to another Exhibitor as the result of a ballot, you will be contacted by the Exhibitor Liaison to discuss options.

The reserving of sites is at the discretion of the Waikato Boat, Fishing & Leisure Show organisers. Every endeavor to accommodate reserve applications will be made where possible.
